Our Office manager is the center point of the organization, the so-called spider in the web. Not only by unburdening the management, but also by foreseeing potential problems, and solving them whenever they still occur. With your work you are the crucial and stable factor within the company. As a Management Assistant you are the administrative hero of all company processes in which you have a proactive role. Discretely you perform several secretarial, organizational and administrative support activities. You are capable of keeping track of everything independently, reading between the lines and you work neatly and accurately. You have a hands-on mentality and you are the point of contact within all affairs concerning facility and office management, including stock management of office supplies and other groceries. Also you help organize the quarterly meetings, drinks, fun activities and more. In this you have much room for your own input and creativity.
Your day starts with our kickoff meeting at 09:00 where you and your team give each other an update about what is going on, and what is on the agenda for today. At 10.00 you have a meeting with our CEO in which you review the to do's of the week. Having prepared for this, you already set up a list of tasks that you sorted yourself on priority so that you can go over every point efficiently. At 11.00 you update the mailbox: you process incoming mails and handle them. Affairs that require direct follow-up, you take up instantly.
After the break you inventory the current state of the food supply and you adjust the current Picnic order accordingly so we are able to lunch all together the rest of the week. Since the end of the month is approaching, you already kindly reminded the team to send in their declarations. You process them diligently so everyone has their declaration on their next salary slip.
At 16.00 you contact the cool location of the next planned group activity. You found the location yourself, you called them and closed a nice deal with them. This gives you a proud feeling: 'Yes!'. During the conversation you tell how many people will be present and if there are any allergies and dietary requirements. Because of your sense of responsibility you emphasize that there will be joining a colleague who really can't eat nuts and you reason it's essential that the caterers take this into account. At the end of the day you go home with a satisfied feeling: looking forward to the next day.
Because of your alertness, proactivity and accurate succession, you are constantly aware of what's going on within the organization. With your unburdening role you take care everything is arranged down to the last detail when it comes to organization and administration so that everything remains to run smoothly.
